I'm wondering if you guys have some sort of system that works for you when keeping track of trades - up until now I've just kept an eye on my PM's and emails, but now that I've started trading more I think I need some sort of list to keep track of what I traded, what I'm waiting for, if I left feedback, etc.

I was thinking an excel spreadsheet but I wanted to know what everyone else works with
 
I'm selling most of mine at the moment . My cat has cancer and everyone has been so supportive . Pin pics is a different story, I send out good requests for trades and I can't even get a No Thank You . Talk about ignorance .

I have index cards..its like a file system here!I write BOTH trades(Mine/other trader)on it
their address,email(if through PP and Id)if through DPF,just the ID here.I mail using DC
and the copy with the DC # are stapled to the index card/if international ..my copy with the address and reciept
gets stapled to the card,once I recieved feedback/and hear they recieved,I write the date on it(Recieved and so and so date)
Put it aside,and when I get mine..I keep the addresses(comes in handy)if you are a member here...LOL!!the addresses are from the labels of the Dc
or international label with the addys on it,I put their PP ID or DPF ID on the back of it.and I have a FULL ziplock gallon bag of them and a file book!

Wow, I envy you! Sounds like a perfect system. I am all over the place, so I try to do the Excel spreadsheet, since I can take it with me on a USB.

Judy's way sounds really good, then you can keep their address for later reference, Zaps!!! Lol

I have done this for 10 years..and it works...you would NOT believe the addresses I have
and YES it comes in handy for ZAPS too..LOL!

I keep a list in my Iphone of what I traded and what I'm supposed to get. That way I always have the list with me. I started this because so many times I've traded more than once for the same pin Now I don't make that mistake.
 
I have a similar process like Judy's too. I'm on a mac so I use Numbers which is similar to Excel. It's nice to easily sort by date or by person or by pin, etc. It's hard to do that in a word document. I also scan the postal receipts instead of keeping them, saves space.
 
I like to use a white board and write on it what pins are out and what pins are coming in. I also use post-its to keep track of addresses, but I only keep a few people's addresses once the trade is completely finished. I also have two folders on my gmail: "trade in progress" and "trade successful." That way I can keep all records of communication in case I need to make a case or defend myself, if there is a problem.
 
My inbox is always full, because I'm trying to keep things staright. I do use an address book to record everyone's address and contact info that I've traded with. There isn't a lot of room for notes about the trade though. I think using a spreadsheet or a system like Judy's is ideal. You guys are very clever! Austin, if I used a dry erase board my son would take it over and make a huge mess-lol!!!
 
what i do is i keep a 2 different notebooks. one is for tracking pins that i send out, include the persons information and even tape in the dc slip with it. the other notebook is for keeping track of pins that i should be expecting, then when i receive those pins i just cross them off. i like my system, its not too messy and it all stays together

Tanya - that was me until I got a package today and I was like "whaaaaat?" - it was like Christmas :lol: That and I realized I'm missing a pin I traded for a while back...
 
I have a book I find it better than the computer for this I also keep track of the number of pins I have traded on line since I started that bit in 2004 current total is just on 4000. This was not the first time I traded that was 1999 but it took a long time before I did more than luck in trading terms on line

I use a notebook like Aleciadesu but just one and write all info. in it, then just cross section out when trade is completed. Some other good ideas out there might have to give one a try.
 
I use Outlook. I created a separate Contact group just for pin trading with 3 categories; Pending, Good, and Bad. Whenever I have a trade, I just create a new contact and tag it as "Pending." When the trade is complete, I can just drag it down to the Good or Bad category depending on how the trade went. One reason why I really like this system is when I trade with another trader again, all I need to do is drag their name into pending again and edit the notes with the new trade details so its easy.
 
I do something similar to luvsulley. I use Yahoo Mail, which lets me create folders other than my inbox. I have one called "pin trading," and I send everything related to pins in there. So I always have all the correspondance to go back and review. I tried to do the excel thing, but it was taking more time than my actual job, so I started to feel a little irresponsible. When I view the emails that are saved in this folder, I can sort them much the same way an excel file does--I can view them in order of when they were sent, which is helpful if I am trying to find an email that I knew I received during a certain time period. Or, I can sort them by sender--that's helpful if I want to re-examine a trade from a particular person and I need all their emails together so I can review them quickly. I can also sort by subject line, which doesn't help much when trying to find a trade made through Pinpics, since they all have the same headings. But if I know it was something else, like an email to John Rick about a PINquery for his PINcast, I can find it quickly this way, since the subject will stand out from all the pinpics subject lines. I also keep my pinpics rejection emails in here so I can keep track of who I have pestered in the past and hopefully not send a repeat request.
 
I used to use a notebook when I was trading a lot more than I normally do. But now, with about an average of 1-3 trades a week, I don't write the stuff down anymore *lol* I do keep the mailing receipts
